The following is a sample group deposit policy.

To reserve seats for your group and guarantee your group rate, airlines require a per ticket deposit (often around $40 per ticket).
Please check with the airline you are flying for specific deposit policies.
Deposit Deadlines:
The deadline for paying ticket deposits depends upon when the reservation is made:

60+ days before departure
30 days after the reservation is made
31 – 60 days before departure
Within 72 hours
15 – 30 days before departure
No deposit, must ticket within 72 hours
0 – 14 days before departure
No deposit, must ticket within 24 hours
The entire deposit must be paid with a single credit card or by check in U.S. dollars.
NOTE: Holiday travel from mid December through early January typically requires a deposit within 14 days of booking and ticketing 45 days prior to departure.
Deposits and Seat Utilization:
Group bookings may be
canceled
up to 60 days before departure and the full deposit will be refunded.
Group seats may be
reduced
up to 60 days before departure and deposits for those seats will be refunded.
The number of group seats held at 60 days determines how many passengers must travel.
Airlines allow a 10% reduction in the number of seats within 60 days of your departure date. Deposits will be refunded for those seats not used.
Deposits will not be refunded for reductions over 10%.
If the group falls below 10 passengers within 60 days of departure, the entire deposit is forfeited.
At the point in time that the group falls below the minimum number of passengers, all existing tickets must be reissued. The deposit amount will be deducted from the value of the existing tickets, change fees may apply, and the remaining value will be applied to the new individual airfare that each passenger must pay.
Deposit Refund:
Deposits are refunded to the original form of payment.
Deposit and refund requests should be sent directly to the airline group desk.
